Regards, John and Silvia From: Lajoie, John Sent: Thursday, October 10, 2024 8:41 AM To: Markus Diefenthaler via Eic-projdet-collab-l eic-projdet-collab-l@lists.bnl.gov Subject: call for workfest/parallel session proposals for Jan 2025 collaboration meeting Dear ePIC Collaborators: This email is a call for proposals for workfests and/or parallel sessions at the upcoming January, 2025 collaboration meeting in Frascati. We plan to have workests/parallel sessions the morning and afternoon on Tuesday, January 11th, in the afternoon on Thursday, January 23rd, and in the morning Friday, January 24th. Following previous practice, this is an open call for workest/parallel session proposals. We encourage people to work with the WG, CC WG and DSC leadership, and to develop proposals that encourage interactions and exchange between different groups – take advantage to the opportunity presented by having a large number of your colleagues present in-person! In developing the proposal, we suggest that focusing on a deliverable can create a theme and a focus that makes good use of the in-person opportunity. For example, a lot of progress can be made in a short time with a focus on a specific design issue like cooling, or a specific simulation or reconstruction issue. In planning for a workfest/parallel session, consider the question "What goals will this workfest achieve that a regular working group virtual meeting cannot achieve?" It may be helpful to even consider a pre-collaboration meeting virtual prep meeting to make optimal use of the in-person time at the collaboration meeting. Please note that we do not plan to include workfest summaries in the final parallel session of the January 2025 collaboration meeting, but we will instead spread these out in the weeks follwing the collaboration meeting. This should reduce the time pressure on workfest organizers to prepare the summaries. Proposals should be sent to the CC and SP leadership, and they should include: Names of organizers Workfest/parallel session title and topics to be addressed, with a deliverable that can creates a focus for the event A draft agenda, including time required and requested days Number of people anticipated to attend (space required) Is this more of a parallel session, “workfest”, hybrid? he deadline to receive proposals is Thursday, October 31st as we would like to finalize the agenda before the holidays. The SP Office, CC Office and Coordinators will work out a schedule in concert with the local organizing committee. Depending on the number of requests and potential overlap in themes, we may need to combine sessions, but we won’t do this without talking with the organizers first.
