Notes:
The first draft of the European Strategy Document will be released to the collaboration in the next day or two. (Which happened on time)
The Early Science Meeting will be held at Stony Brook from April 24 – 25, though the meeting itself will be hybrid.
We need to develop and approve the results validation scheme.
Please keep the analysis tutorial work ongoing, we will check next analysis meeting on the progress.
In order to meet the detector requirement charge, we need to open a dialogue with the DCS, and this is best done via the cross cutting working groups. To this end, we will start with the PID, especially as the PID detectors are doing with the different configurations to deal with the larger beam pipe. We have contacted them through mail, though we have not yet heard back.
Discussion on the format of the biweekly Analysis Meeting – while the meeting has been open to all, we have only been specifically inviting the PWG conveners. This week we sent mails to all the PWG mailing lists to encourage attendance.
Olga makes the point that most working groups are meeting biweekly, so for the PWG conveners to report every other week it is really just a report on a single meeting which is not efficient.
The idea, which Rosi/Sal have been trying to do, is to bring different topics up so some Analysis Coordination meetings are not centered around reports. A reasonable frequency seems to be reports once a month, and then “other topics” once a month.
Kong brings up the valid point that if meetings have a large attendance, then it is hard to get into technical details and there are sometimes topics that aren’t easily discussed with a lot of people. Also, announcing this meeting to everyone would make them feel like they should attend it. Raphael agrees that there are aspects of the meeting that are better due to its smaller size.

We discussed that this meeting could serve a bit like the STAR PWGC meetings, where nearly final analyses are discussed – so a person can come with a mature analysis and receive the tacit approval of the PWG conveners. It may be that we start to need a separate meeting for this sort of thing, but that is a future issue.
Discussed the first figure – need to follow up with Elke on the difference in the points as there was a discrepancy. We should also figure out which STAR/PHENIX papers were used so they can be properly cited.
Discussion on other aspects of the strategy document – we realized we can get the pie chart for our demographics via the ePIC phonebook.
Discussed Early Science Logistics and Theorists. Kong suggests: Flix Ringer, Farid Salazar, Shohini Bhattacharya. Marco suggests Matteo Cheruti. There will be funding for early career folks, the email went out.
Discussed improvements to the famous early science table – also noting we need luminosity. Fixes to the machine lattice for the early science case need to be put in to avoid after burners and other issues.
Joint Meeting with SCC is March 12, topics need to arrive before March 10th. This we will follow up on email.
